Applicable scope

This policy applies to all information that is collected by us in relation to our services or products regardless of the country or region where are services or products are being used.

This policy also applies when you use our services or products (Template Manager, Signature Manager, Presentation Manager) through the Add-in for Microsoft Word, PowerPoint, Excel or Outlook, App for Microsoft Teams, App for Microsoft SharePoint, or any other solution that's integrates or interacts with our services.

What information do we collect?

When you sign up for our services or products, we ask you to provide personal information. We collect information about you when you input it into our services or other sources provide it to us. By providing your personal information you are deemed to have given permission for its use by us in accordance with this privacy policy. The basic information we collect is name (first name, surname) and email address. If applicable, you may provide us your job title, phone number, mobile number, department, working hours, gender or any other specific information that is configured in your subscription.

How do we use your information?

The information we collect is stored in our data center and systems used to deliver our services and products to you and to improve our services and products.

The information we collect is being used for different purposes.

Account - To identity the user and assign authorization. We retain this information for as long as your account is active.

Services - We use your information to personalize documents, presentations, workbooks, emails, or any other materials you are creating using our platform. We retain this information for the duration of your subscription or subscription policies are enabled that enforces the information to be deleted sooner.

Usages - We use your information to collect data about the usage of our services. This information gives you and us insights in the usage of our services. We collect date, time, action, state, language, os, application, version and objecttype. We retain this information for as long as your subscription is active, or subscription policies are enabled that enforces the information to be deleted sooner.

Analytics - We use non-personal information to monitor and improve our services. This information is deleted after 90 days.

We use your personal information exclusively as described in this privacy policy in order to comply with our obligations and to improve our services and products. We process personal information only in accordance with all applicable laws regarding personal information.

You may view, change or delete your personal information at any time. In that case, you can always contact us.

In principle your personal information will exclusively be used by eformity. We do not provide your personal information to third parties without your permission, unless we are obliged to do so on the basis of the law or a court decision or if this is necessary for the execution of an agreement between you and eformity.

You agree that you may receive electronic communications from us in connection with your account. These messages consist of e-mails at the e-mail address specified during registration. The messages include notifications about your account (such as changes to your password or payment methods, confirmation e-mails and other transaction details) and are part of your relationship with eformity.

You agree that notices, agreements, disclosures or other communications that we send to you electronically comply with legal communication requirements, and that such communication must be in writing.

Your personal information may also be used by eformity to inform you about our products and services. You can disable receiving e-mail from eformity via the method indicated in the e-mail.

We respect the privacy of all customers and users of our services and products. We ensure that the personal information you provide is treated confidentially.
